Regarding reservations

Q. Up till when can reservations be made?

If rooms are available, reservations are accepted up till the day before your stay.  However, only those who can deposit the full amount by 2:00PM the day(business day) before their stay are accepted. (Payment on site is not possible)

Q. Is it possible to make a tentative reservation and is a cancel waiting list available?

We apologize for the inconvenience but tentative reservations and cancel waiting lists may lead to double booking and cause unneeded stress to our customers, therefore we do not accept any tentative reservations nor keep a cancel waiting list.

Q. I would like to make my reservation if I see that a room vacancy is available, but how should I go about doing it?

A. Please fill in the reservation mail form for each cottages. When doing so, make sure to check each “Booking process” and “cancellation policies” for reservation procedures to make sure you understand the content, and then send in the application.  If you send it during business hours the reservation will be immediate.  This is where the “ICU vacation rental, reservation finalization guide” is sent by return email, please confirm the content.  If you do not receive this return email, it means that the reservation is not yet valid.  It means that we may have not received your email or the email address that you provided might not have been correct.  If you do not receive any reply email please contact us.  (Reservations received on non-business days will be returned on the following business day).  After making the reservation we will also send you guides, etc. by post so please confirm.  (If there is not enough time to send by post, the guides will be sent by either email of FAX).

Q. Is a deposit required for the reservation?

A. There is no deposit. The total amount of new reservation processing charge of \100 per person, accommodation fees and utility fees (only for cottages that require it) should be deposited by the specified date.  (Refer to Booking process” page for where to deposit fees).   Most lodgings have fees to be paid on site (linen fee, utility costs, facility usage fees, etc.) please confirm the homepages for each cottage for details.

Q. I would like to have a barbeque, what kind of facilities do they have available?

A. Reservations for barbeques are basically required for equipment only like griddle, grill, chairs, barbeque hibachi, etc (Note: differs depending on cottage).  Please bring your own food for cooking like beef, seasoning like salt and pepper, paper plates, paper cups, chopsticks, fuel, etc. (It is also possible to use the plates, cups, chopsticks, etc. provided in the lodging but please make sure to return it to its original location after use.  You may be billed if there is any damage to the dishes and/or utensils so please be careful when using it outside.)  Each cottage has their own rules for barbequing and different pricing schemes with varying content so please make sure to check their home page before you go.

Regarding equipment and facilities provided at vacation rentals, cottages and condominiums

Q. Would it be okay to stay there with my pet?

A. There are places that allow pets and other places that do not allow pets so please check this page to find places that do allow pets.  All other places do not allow pets at all.  Please note that even at places that do allow pets, there are some areas of the cottage that will and will not allow pet access so please make sure to inform us that you will be accompanied by a pet when making your reservation.  During your trip, make sure to always take your pet with you when you go out for sightseeing.  When a pet is left in an area it is unfamiliar with, it may bark and/or howl and even have “accidents” which may disturb other guests staying at the cottage so please be careful.

Q. Is there bedding (futon mattress) provided?

A. Bedding for the number of people reserved for will be prepared.  Linen, such as sheets and pillow cases are often provided by the administration desk during check in.  (Some cottages have linen prepared inside guest rooms.)   There are different types of beds available like bunk beds, single beds and sofa beds.  Each facility is different so please check under room layout (line) column in the room rates table.  Please be careful when using the bedding as you may be billed for any soiling or damage that is found.

Q. What should I do about food?

All of the cottages that we handle are self-catering accommodations.  One of the things to look forward to when travelling to these places is to have an outdoor barbeque and to cook your own food.  Please feel free to use the kitchen and the kitchen tools provided in the lodging.  If you find cooking yourself a hassle, then you could go to eat at one of the restaurants found nearby, a part of travelling that you can relish is to enjoy famous local cuisine.  You are free to go out as well as check-in/check-out whenever you wish.  (However, please follow the instructions of the house keeper at each site when you are there and follow the individual rules set forth by each cottage.  Any behavior or actions that disturb other guests is not allowed.)

Q. What kind of equipment is provided in the kitchens?

A. We have a wide range of sizes and numbers prepared according to the number of people in your party.  There are facilities capable of handling large groups with quite a few large sized rice cookers available.  The basic utensils and cooking tools normally found in any family’s house in Japan such as pots, kettles, dishes, chopsticks, bowls, cutting boards, knives, etc. are available.   However, please check or bring your own special purpose tools like potato peelers, bottle openers and wine openers if you know you will need it during your stay.

Regarding any changes after making reservation

1. There will be a processing fee of 500yen.  2. Accommodation rates for number of people added will be charged.

*If you had a reservation for 8 people in a place that can accommodate 10, there would be no change fee charged if your party increased to up to 10 people.

Changes up till two business days before your stay will be accepted.  Changes on the day of your stay cannot be accepted.

1.There will be a processing fee of 500yen.
2. You will be charged accommodation rates for number of people added.  Note: There are types that cannot be added so when you make your reservation, if you think there is a high possibility that the number of people in you party will increase, it would probably be better to reserve the larger type, to be on the safe side.

If you have to change lodging type from a room type to large type (eg: 10 people to 15 people)
1. 500yen processing fee.
2. Cancellation fee for old type (eg: cancel charge fee for accommodation rates for 10 people) will be charged.
3.Accommodation rate for the new type (eg: for 15 people) will be charged.

Q. I would like to reduce the number of people in my party (If it is still 20 days or more before your stay)

1. There will be a changing fee of 500. 2. Charges will be changed to new type accommodation rates.  However, if 8 people use a place that can accommodate 10 people where the type used does not change then no processing fee will be charged and total fees will not change.But please imform us exact number of people because house keeper will prepare the linen or other facilities etc.

Q. I would like to reduce the number of people in my party (If it is under 20 days or less before your stay)

Changes up till two business days before your stay will be accepted.  Changes on the day of your stay cannot be accepted.

1.There will be a processing fee of 500yen.
A cancellation fee will be charged on the difference of the amount reduced from the original reservation. (eg: If100,000yen for 10 people changed to 80,000yen for 8 people the difference is 20,000yen the cancellation fee charged would be a percentage of 20,000yen)

Q. How should I make additional deposits for additional fees?

Please deposit the fees to the same account at the same location as was deposited the first time by the designated date.  As a rule we do not send deposit slips for changes after reservations have been made.

Q. How are refunds given?

If money has to be returned, it will be returned after your stay.  We would request you to fill in your account details on the designated form (it is possible to have a “name on the account to deposit refund” that is not the same as “the person that made the reservation” but please write in a comment on the form to that regard) Then please fax (03-3666-1898) or send the form by post. (If you do not have a printer available to printout the designated form, you can write out the details requested on the form and send that to us)  After we receive the form, the money will be returned to you within a week (within one week after your stay).  (You will bear the costs for money transfer processing fees)

Q. Can I get a receipt?

We can issue receipts.  It will be mailed to you after your stay.  (Receipts cannot be issued before your stay)
